Step 1: Calculate Your True Hourly Cost Per Recruiter

Start with the fully-loaded cost of each recruiter — not just their salary, but everything that comes with them.

Example calculation for a mid-level recruiter:
Base salary: £35,000
Employer NI (13.8%): £4,830
Pension contributions (5%): £1,750
Benefits (healthcare, laptop, phone): £2,000
Office space allocation: £3,000
Training and development: £1,000
Total annual cost: £47,580
Working hours per year (47 weeks × 37.5 hrs): 1,762 hours
True hourly cost: £27/hour

For a senior consultant billing £80,000+ annually, the hourly cost might be £40–£50. For a junior consultant, it might be £20–£25. Use your actual figures rather than these examples.

Step 2: Measure How Much Time Goes on Admin

This is where most agencies guess — and usually underestimate. We recommend asking consultants to track their time for one week using a simple time log. The categories to track:

  • CV formatting and ATS upload — receiving CVs, reformatting, uploading
  • Job board posting — writing, adapting, and posting job adverts
  • Interview scheduling — email chains, calendar management, sending invites
  • Compliance administration — right-to-work checks, references, documentation
  • Status update emails — routine candidate and client communication
  • ATS data entry — updating records, adding notes, changing pipeline stages
  • Reporting — generating activity reports, KPI tracking

Across the agencies we've worked with, the total typically comes to 10–15 hours per recruiter per week. That's 27–40% of a working week consumed by tasks that generate zero direct revenue.

Step 3: Calculate the Cost

Multiply your hourly cost by the weekly admin hours, then annualise it.

Example for a team of 8 recruiters:
Average hourly cost: £28/hour
Average weekly admin hours: 12 hours per recruiter
Annual admin cost per recruiter: £28 × 12 × 47 weeks = £15,792
Annual admin cost for team of 8: £126,336
