Count the Emails

Next time you arrange an interview, count the emails. You'll probably find it goes something like this:

  1. Recruiter to candidate: "Are you available for an interview next week?"
  2. Candidate to recruiter: "Yes, I can do Tuesday or Thursday afternoon."
  3. Recruiter to client: "The candidate can do Tuesday or Thursday. Which works for you?"
  4. Client to recruiter: "Wednesday morning would actually be better."
  5. Recruiter to candidate: "Client prefers Wednesday — are you free at 10am?"

Why This Is Harder Than It Looks

Step 1: Interview Request Trigger

When a client signals they want to interview a candidate (via email, via your ATS, or via a dedicated form), the automation triggers. The system identifies the relevant recruiter, candidate, and client contact from the ATS record.

Step 2: Availability Collection

Rather than a back-and-forth email chain, the system sends the client a link to select their available slots from a calendar view that shows real availability. Simultaneously, or after the client selects times, the candidate receives a link to book from those same slots.

This collapses the multi-email chain into two automated messages and one click from each party.

Step 3: Booking Confirmation

When the candidate selects a slot, the system instantly confirms the booking with all three parties. Calendar invites are sent to the candidate, the client hiring manager, and added to the recruiter's calendar. All confirmation emails include the role details, location (or video link), and any prep information you've configured.

Step 4: ATS Update

The interview record is automatically created and populated in your ATS — date, time, location, interview type, interviewer name. No manual data entry. The candidate's stage in the pipeline is updated automatically.

Step 5: Reminder Sequence

Automated reminders fire at pre-configured intervals — typically 48 hours before, 24 hours before, and the morning of the interview. Candidates receive interview prep tips. Clients receive the candidate's CV and any briefing notes you've written. The recruiter receives a reminder to make their pre-interview call.

Step 6: Post-Interview Follow-Up

After the interview time passes, the system can automatically send feedback request emails to the client and a check-in message to the candidate. Responses can be captured and logged against the placement record.

What Changes for the Recruiter

With this workflow in place, the recruiter's role in interview scheduling shrinks to a single action: confirming that they want to schedule an interview and selecting the right interview template (first interview, second interview, technical assessment, etc.).

Everything else — the coordination, the emails, the ATS update, the reminders — runs automatically.

Handling Edge Cases
